File Management

Written by Nikita Malinovsky

File Management lets you build your own workflow for the files associated with a case, following the movement of files from raw and design to printing and milling or whatever workflow you like. Files and folders sync with your cloud storage (Google Drive, OneDrive) so you can manage it directly from Pilot.

Getting Started

Set up Google Drive

Folder sync keeps a folder in your Google Drive and the files in Pilot in step. Sync is two-way: files you add in Drive show up in Pilot, and files you move or rename in Pilot are copied back to Drive.

Choose your sync folder

  1. Go to Settings → Integrations → Google Drive and connect your Google Drive account.

  2. Click Change folder.

  3. Pick the Drive folder you want Pilot to use.

  4. Organize it like this: {sync folder}/{order number}/{Raw, Design, Milling, ...}/file

Things to know:

  • Pilot can only see the folders you select, plus any it creates itself.

  • New files in the sync folder are picked up automatically within a few minutes.

Import from Drive

Use this to bring in files that were added to Drive while sync wasn’t running, or to catch up after a gap.

  1. Under Import from Drive, choose a time period (for example, Last 2 days).

  2. Click Import now.

Pilot re-checks the folder for files added or changed in that period.

Send Pilot files to Drive

Use this to copy files that exist only in Pilot into Drive.

  1. Under Send Pilot files to Drive, choose a time period.

  2. Click Push Pilot files.

Pilot copies the files that aren’t in Drive yet into your sync folder. Files that already exist in both places are skipped.

File management settings

Set up your workflow folders

  1. Go to Settings → File Management.

  2. Create a Workflow Folder for each stage of your process, for example Raw, Design, Milling.

  3. For each folder, choose whether it appears in the Raw viewer mode, the Design viewer mode, or neither.

  4. Choose which folder files from your integrations (such as Bite-Finder or IOS) land in.

The File Management page

Go to Admin → File Management.

  • Left side: every case and order.

  • Right side: that case’s full file structure, from Pilot and from your connected storage.

Click a case number to open the case, or hover and click Preview to see it in a side panel. You can work with files the way you would on your computer: drag to move, copy, rename, create folders and delete.

Files on the Case page

The Files section on a case shows:

  • every workflow folder

  • any folders directly under the order folder

You can also move and copy files from this section. These operations modify the files in Google Drive.

Deleting a scan or attachment from Google Drive or the Files section will not delete it from Pilot. The files will remain available in Pilot unless you delete them separately from the Scans or Attachments section.

The viewer mode determines which files are displayed:

  • Raw: Shows only files in folders configured to appear in Raw mode.

  • Design: Shows only files in folders configured to appear in Design mode.

Tips

  • Copy files from All into a workflow folder to move them into the next stage.

  • If a Pilot file and a Drive file have the same name, Pilot adds a number to tell them apart.

  • Running Import now or Push Pilot files more than once is safe.
