Overview
The Sandbox is a separate practice environment for your lab, where you can learn Pilot and build your setup without touching your live lab. Use it to train new staff, try out products, prices, workflows and production setups, or prepare your whole setup before your go-live date and then repeat it in your live lab.
You always know you're in the sandbox: a yellow SANDBOX banner runs across the top of every page. Click the banner at any time to open this guide.
Opening the Sandbox
Click the workspace menu at the top of the sidebar (it shows your lab's name) and choose Sandbox.
Every lab gets its sandbox along with its live lab, at its own address: if your lab is at yourlab.pilotlms.com, your sandbox is at yourlab-sandbox.pilotlms.com. The first time a teammate opens it, Pilot creates their own sandbox account with the same name, login and role they have in your live lab.
What's in the Sandbox
Your sandbox and your live lab both start with the same settings, roles, and PDF and email templates. On top of that, the sandbox comes with sample data so you can try things right away:
Customers: sample offices and doctors, with tax areas and shipping routes
Products and price lists
Production setup: departments, workstations, and production templates with their steps
Your live lab has none of this sample data: you build it with your real customers, products and production setup.
The sandbox and your live lab are completely separate. Changes you make in one never show up in the other.
What Works Differently
Almost everything in the sandbox works exactly like your live lab. A few things are changed so that nothing you do there reaches a customer or costs money:
Emails go to you (the person who triggered them) instead of your customers, with [Sandbox] at the start of the subject.
Payments (Stripe, NMI) can't be connected, so no one is charged.
Shipping carriers (UPS, FedEx, USPS) can't be connected, and shipping labels, return labels and pickups can't be created.
Accounting (QuickBooks Online, SAP Ariba) can't be connected, so nothing is sent to your books.
Scanner integrations (iTero, Medit, 3Shape, DS Core, DEXIS, Allied Star, Aidite, Dentira) and BiteFinder can't be connected. Use sample cases instead (see below).
These integrations are marked Not available in sandbox on the Integrations page.
Sample Cases
To see how cases come in from intraoral scanners, add sample cases. Click Add sample cases in the workspace menu at the top of the sidebar, at the bottom of this guide, or next to Intra-oral Scanner Portals on the Integrations page.
Within a minute or two, the sample cases show up on the Cases page in Entry, just like cases sent from an iTero scanner, from a made-up practice called Sample Dental Office. They cover a mix of case types (an implant crown, a crown, and a remake) and come with scans, the iTero Rx and other attachments, so you can open them in the 3D viewer. The patients are made up.
Working the sample cases
Pick a customer: one of the sample offices, or one you've created.
In Scanner Tools, map Sample Dental Office to that customer, so its cases are assigned to them.
Open the cases from the Cases page and enter them like any other scanner case: pick products, review the scans, and send them to production.
You can add sample cases as many times as you like. Each time adds a new set.
Using the Sandbox to Prepare for Go-Live
Start in the sandbox: learn Pilot on the sample data, then shape it into your own setup (products and price lists, customers, workflows, production tasks and templates). Once it works the way you want, set the same things up in your live lab before your go-live date. Your live lab starts with only your settings, roles and templates, so nothing sample-related ends up in it. Because the two are separate, you'll set things up again in your live lab rather than copy them over.
Going Back to Your Live Lab
Open the workspace menu at the top of the sidebar and choose your lab's name, or click Back to live lab at the bottom of this guide. You'll land in your live lab where you left off. If you've been signed out there, sign in as usual.
